Generating PM Work Orders based by Installed Product Location
Prerequisite
To use this functionality, you must enable the Advanced PM Engine. For more information, see Enabling and Configuring Advanced PM Engine Settings.
If your users create Time-based Preventive Maintenance Plans with the Coverage Type of Product and include multiple Installed Product coverages across different locations, you can configure the PM Process to automatically group those covered Installed Products by their shared location and generate a single Work Order for each location. Also, the system automatically adds the related installed products as Service Products or Product Serviced (Work Detail) lines to the Work Order. In the PM Process configuration, set Number of Work Orders to One Per Product Location in the Work Order Rules tab to enable this functionality. his functionality applies only to Time-Based PM Plans with Product (must have IB) coverage. It does not support Location or Account coverage. Make sure the Installed Products have the Location field populated.
The following are the key benefits:
Enables the creation of a single PM Plan covering multiple Installed Products across different locations.
Eliminates the need to create multiple PM Plans based on location.
Streamlines work and reduces manual effort.
Maintains consistent preventive maintenance scheduling across the Installed Product at multiple locations.
To group Installed Product coverages based on their shared location in Time-Based PM Plans and generate PM Work Orders for each location, you must perform the following:
1. Create a Time-Based PM Plan template with Product coverage type.
In the Criteria stage of the PM Plan Template wizard, configure the following:
Select Basis as Time.
Select Coverage Type as Product.
Select the Installed Product Criteria and Location Criteria based on your requirements.

In the Applicable Products stage of the PM Plan Template wizard, add the applicable Products, Product Line, or Product Family across different locations.

2. In the New Preventive Maintenance Process wizard, go to Work Order Rules stage and set Number of Work Orders to One Per Product Location. Also, configure Field Map from Location to Work Order and Field Map from Installed Product to Work Order. For more information, see Configuring Work Order Rules.

3. Create a Time-Based PM Plan from a Service Contract, Account, or other source record (that includes Installed Products available in more than one location) using the Time-Based PM Plan template with Product coverage type. For more information, see Creating Time-Based PM Plans.
Based on this configuration, the Advanced PM Engine runs on schedule. If the PM Plan qualifies, it groups Installed Product coverages by shared location and generates a single Work Order for each location.
If the PM Plan’s Purpose of Visit is assigned with a Work Plan, the Work Order includes the Installed Products as service products, along with work plan assignments, parts, and tools. The Installed Products are qualified based on their shared location.
In the Related tab of the Work Order record, you can view added Service Products, Work Plan Assignments, and Parts.

If the PM Plan’s Purpose of Visit is assigned with Task Template, the Work Order includes related Work Detail lines. The applicable Installed Products are added as Products Serviced in the Work Detail lines. The Installed Products are qualified based on their shared location.
In the Related tab of the Work Order record, you can view the Products Serviced lines in the Work Details.

Use Case
A facilities maintenance organization manages preventive maintenance (PM) for various equipment installed across multiple customer locations. Each location, such as Bangalore, Chennai, and Hyderabad, has different Installed Products, including HVAC systems, water purifiers, and generators.
To improve efficiency and reduce manual effort, the organization configures the PM process to automatically group Installed Products by shared location. When the PM Engine runs, it generates three separate Work Orders, one for each location. Each Work Order includes the Installed Products belonging to that location as Service Products or Work Detail lines.
This setup ensures accurate, location-specific maintenance execution while fully leveraging Time-Based PM Plans with Product (Must include IB) coverages.
